About the role
Reporting to the Trek Logistic Manager, the Trek Logistic Specialist serves the needs of G Adventures customers – internal and external. Duties will include working with the Operations Team, Customer service and Finance team using efficient processes and actioning any foreseeable problems. As this role is oriented towards the Trek Logistic area, you will most importantly need to be extremely organized to manage all our Equipment Inventory and be able to communicate clearly and efficiently with our Trek Crew.
What you’ll be doing:
Supervising the preparation and delivery of camping gear in the warehouse.
Implement and supervise a gear inventory process to ensure equipment is regularly maintained and damaged equipment is taken out of the inventory.
Monitor the development of the operation, when the groups are en route.
Propose and implement improvements and processes in the warehouse in order to have a better organization in the area..
Verifying and updating field staff documentation such as insurance, contracts, etc.
Developing operational processes to optimize field work.
Verify the correct performance of the functions of field personnel and have a register of the performance of each one.
Supporting the trek manager in the annual inventory of equipment and other duties when necessary
Support the trek Manager in the preparation of the equipment purchasing budget.
Request quotes from suppliers based on requirements.
Ensure Budget costs are correct and that they flow correctly onto each trip budgets.
Maintain the most up-to-date information of the equipment that the Inca trail regulators require or request, as well as for other treks.
In coordination with the Trek Manager, elaborate a yearly and monthly budget to request any warehouse supplies.
Review all documents sent by the porters supervisor at km82 in order to present to the Accounting department.
Daily review and supervision of the equipment returning from Inca Trail, Lares Trek, Choquequirao and Salkantay treks.
Daily review of rentals reports and keep a record/statistic of that.
Elaborate and review all trek budgets for each trek group. These budgets will be reviewed by the Accounting department and it has to match with the validations budgets.
Supervise all first-aid kids are complete and ready to go on the treks, according to the Inca Trail regulations. Keep a clear report of these items.
Supervise the review of the conditions of, walking poles, sleeping bags, air mattress and duffle bags. Either going or returning from treks. Make sure equipment in bad conditions won’t return to the trek.
Assist with and lead where necessary and manage all Critical Incident Management (CIM) in the region regarding Paxs and Trek Crew.
Supervise the warehouse procedures and maintain an open dialogue to find efficiency where needed.
Supervise all food requirements for the treks: Inca, Lares, Choquequirao and Salkantay and recommend necessary changes based on budgets and needs of the trek, paxs and company.
Support the team when necessary, while on vacation days off or other situations or health problems.
Prepare a monthly schedule for porters and cooks.
Manage an efficient rental process of equipment shared with the CS Team and the Finance Team.
Communicate effectively through the Trip Slack Channels any relevant information about each trip.
Administrative support for the Global Sales, Operations and Product teams for information-gathering and logistics related to the area.
Support the Customer Solutions team for on-tour and post-tour issues, investigating, collaborating and communicating with the stakeholders to manage situations as effectively as possible and bring them to resolution.
Assist with validations to the finance team when it is requested.
To contribute to G Adventures performance by displaying a positive, enthusiastic attitude and showing support and involvement in G Adventures initiatives and activities.
The specialist must make sure of the success of our trips, making sure that all the rules and protocols implemented by the authorities that take care of the routes like SERNANP, DDC and others are done in a proper way.
Provide support for the good organization of the different annual events such as Christmas in the community, porters championship, training, annual wanderer and others.
Desired Skills and Experience
Must Have:
Computer skills
Highly proficient in English and Spanish both written and spoken
Knowledge of the Andean Quechua Language.
3+ years experience in the travel industry, ideally in the trek industry
Familiarity with Regional Geography
