About the role

The HR Admin Coordinator will work closely with the HR team EMEA to manage HR administration, payroll, and data management for EMEA legal entities (Kaz/HoT/Osprey). The role will also support HR cycle activities, respond to HR operations queries, and assist with reporting needs.

Over time, the HR Admin Coordinator will become the Workday and internal systems SuperUser for the HR Team EMEA. Additionally, the role will contribute to HR initiatives, support special projects, and act as a backup for the HR team and Facilities when required.

This position requires a strong affinity for systems, a sharp eye for numbers, and a focus on accuracy and efficiency to ensure smooth operations and compliance across the region.

What you’ll do in the role

HR Administration & Employee Relations

  • Coordinate and manage all HR administrative tasks related to the employee lifecycle, including: onboarding (offer letters, employment contracts, work permits, social security registration, pension plans, health insurance, etc.)
  • Employment changes (sickness, maternity, promotions, work rate changes, personal file updates, family allowances, long-term service awards, etc.)
  • Offboarding (resignation letters, departure forms, holiday calculations, work certificates, unemployment office coordination, etc.)
  • Prepare and validate payroll for all employees in collaboration with local payroll agents across multiple EMEA countries (CH, UK, AUS, BEL, FR, GER, ME, NDL, POL, SWE).
  • Administer LTIP, ESPP, stock option plans, and bonus plans while ensuring accurate verification and payment of social charges in cooperation with local HR support.
  • Act as the primary point of contact for employees regarding HR administration-related queries and liaise with external providers and authorities.
  • Manage HR communications, including issuing the monthly newsletter and coordinating updates on joiners, leavers, and internal changes.
  • Oversee HR reporting activities
  • Maintenance of EMEA records for ISO audits
  • Preparation of documentation for internal audits
  • Process HR-related invoices and purchase orders.
  • Support the HR Manager with ad-hoc reports and statistical data analysis

Workday Administration

  • Ensure accurate and up-to-date employee records in Workday (new hires, job changes, sickness, maternity, terminations, etc.).
  • Identify and support system enhancements to improve efficiency and data accuracy.
  • Assist the HR team with Workday reporting and related projects.

Time Tracking & Leave Management

  • Monitor and proactively manage time tracking, holiday, and absence records.
  • Ensure associates and managers are informed and trained on any changes in policies, processes, or local regulations.

HR Projects & Support

  • Participate in various HR initiatives aimed at process improvement and operational efficiency.
  • Provide backup support for facilities and HR team functions as needed.

What will help you do the job well

🗝 Essential:

  • Certificate d’Assistante en Gestion du Personnel
  • 1-3 years of HR administration experience, preferably in an international environment
  • Strong MS Office skills
  • Fluent in English and French (spoken and written), another European language is a plus.
  • Strong numerical skills

  • Experience with Workday or similar HR systems is an advantage
