SUMMARY

Arcticom, a subsidiary of Bering Straits Native Corporation, is currently seeking a Travel Coordinator to support the Department of State (DOS). The successful candidate for the Travel Coordinator role will be involved in extensive contact with the public, often under time constraints and in challenging situations.  The Travel Coordinator is often the first personal contact with the Department of State. 

 

This position is self-managed and independently works at the direction of the government which is directly related to the business operation supporting the Foreign Service objectives. The Travel Coordinator works independently performing his/her primary duties directly relating to orchestrating the personalized travel of dozens of DOS student interns.  The Travel Coordinator requires independent decision-making necessary to process travel authorizations for 1,200 student interns annually.

Responsibilities

ESSENTIAL DUTIES & RESPONSIBILITIES

  • The Travel Coordinator acts as a lead in providing support to the government Travel Coordinator.
  • Leads the coordination between internal offices include GTM/EX/RMD's E2 account staff and Comptroller and Global Financial Services (CGFS).
  • Coordinate and manage the confirmation that paid DOS interns’ travel reservations are complete.
  • Provides support during the travel process, including processing of forms related to travel requests and vouchers and entering data into an automated travel system.
  • Correspond with student interns or internal/external stakeholders for a variety of reasons, including to assist in reserving plane tickets, to reschedule travel itineraries, to obtain missing information, or to advise the status of travel vouchers.
  • Send travel account (E2) request documents to the interns and review for accuracy and submit the account request to the E2 accounts team for paid student intern travel processing and approval.
  • Provide E2 training to student interns assistance in submitting their travel requests in E2.
  • Maintains accurate spreadsheets indicating voucher costs for student interns.
  • Resolve last-minute travel issues (e.g., delayed/cancelled flights), requiring the team members to be on standby during the weekend travel dates.
  • Review for accuracy and then process 1,600 travel vouchers (two vouchers for fall interns due to the change in fiscal year), resolve travel voucher issues.
  • Will work with proprietary travel software daily

Required (Minimum Necessary) Qualifications (applies to both this section and KSAO’s)

  • Bachelor’s degree
  • 3 plus years’ relevant experience
  • Self-directed and able to work without supervision

 

Knowledge, Skills, Abilities, and Other Characteristics

  • Excellent written and verbal communication skills
  • Excellent interpersonal skills
  • Excellent time management skills and ability to prioritize
  • Prior experience in relevant field
  • Must be fully conversant with word processing and spreadsheet software.
  • Willingness to learn and motivated to take on additional projects and solve problems
  • Highly organized multi-tasker who works well in a fast-paced environment
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel)
  • Uses discretion and independent judgement in performance of duties

 

Preferred

  • General knowledge of the State Department environment
  • Government contracting experience

 

NECESSARY PHYSICAL REQUIREMENTS

Essential and marginal functions may require maintaining the physical condition necessary for bending, stooping, sitting, walking, or standing for prolonged periods of time; most of the time is spent sitting in a comfortable position with frequent opportunities to move about.

 

DOT COVERED/SAFETY-SENSITIVE ROLE REQUIREMENTS

  • This position is not subject to federal requirements regarding the Department of Transportation’s “safety-sensitive” functions.  

WORK ENVIRONMENT

Job is performed in an office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse, and multi-line telephone system. The work described herein is primarily a modern office setting. Occasional travel may be required.

SUPERVISORY RESPONSIBILITIES

  • No supervisory responsibilities.

ADDITIONAL QUALIFYING FACTORS

As a condition of employment, you will be required to pass a pre-employment drug screening and have acceptable background check results. If applicable to the contract, you must also obtain the appropriate clearance levels required and be able to obtain access to military installations.
