The Salvation Army, an internationally recognized non-profit, faith-based organization, has an opening for a full-time, Summer Camp Counselor (Camps) for the Southern Territory, Memphis Kroc Center located in Memphis, Tennessee.

 

Job Summary:

 

Performs a variety of clerical and administrative work necessary for the smooth operation of the office; assists with special events, as a majority of the responsibilities; processes a variety of routine paperwork, filing, coping, necessary for office operations; answers the telephone and provides general information regarding the office operations; serves as liaison between the supervisor and Officers and other staff  by providing and obtaining pertinent information about department/office operations.

 

Drives truck and/or van to mall(s) to pick up gifts and take them to the Christmas warehouse; responsible for driving the truck and/or van to and from homes, agencies and churches to pick up gifts, stockings, etc.; loads and unloads gifts from the truck to the warehouse; Operates the truck and/or van in compliance with established Salvation Army standards and State driving regulations; lifts, carries, loads and unloads Christmas donations, gifts, stocks, etc.; ensures the safety, security and accountability of the vehicle and donations at all times; assists in performing work at the Christmas warehouse and center as requested.

Administrative Support: (50%)

 

Prepares and maintains office records, reports, calendars, databases, logs, lists, etc. in an accurate, complete, and timely manner; updates, posts and indexes information and inputs data into the computer to maintain office records; researches office files to locate specific information found in documents, correspondence, lists, forms, etc. in order to prepare specific reports.

 

Prepares and proofs various routine reports; compiles and records information and statistics necessary to generate routine reports; proofs reports for errors and to ensure they are grammatically correct.

 

Performs routine filing of a variety of correspondence, forms, cards, records, reports, and documents; maintains and utilizes the bring-up filing system; ensures the files are maintained in an organized and efficient manner.

 

Performs various clerical and administrative support work associated with special projects, seasonal events, and conference and committee meetings; assists in coordinating arrangements and volunteers.

 

Answers telephone in a courteous and tactful manner; greets and assists employees and people from outside The Salvation Army; provides accurate and complete information regarding the office operations and/or services; attempts to resolve complaints in a calm, courteous, and tactful manner.

 

Performs other related work as required.

 

Maintains Files: (35%)

 

  • Add new material to file records and create new records as necessary.
     
  • Answer questions about records and files.

  • Eliminate outdated or unnecessary materials, destroying them or transferring them to inactive storage according to file maintenance guidelines and/or legal requirements.

  • Find and retrieve information from files in response to requests from authorized users.

  • Keep records of materials filed or removed, using computer.

  • Modify and improve filing systems or implement new filing systems as needed.

  • Perform periodic inspections of materials or files in order to ensure correct placement, legibility, and proper condition.

  • Place materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to classification and identification information.

  • Scan materials in order to determine how and where they should be classified or filed or forwarded to Divisional Headquarters.

  • Sort or classify information according to guidelines such as content, purpose, user criteria, or chronological, alphabetical, or numerical order.

  • Perform general office duties such as typing, operating office machines, etc.

 

Front Desk Support: (15%)

 

Relieves front desk receptionist for breaks and lunch periods routinely. Answers the telephone in a courteous manner and directs calls to the appropriate destination; records accurate and complete messages when necessary; receives and receipts deliveries; greets and announces visitors and clients; provides general information about The Salvation Army's operations and services; performs routine clerical work such as typing and filing.  Serves as backup to work holidays, Sick/Personal days and/or vacation days at front desk when relief person is not available.

                                        

 

MINIMUM QUALIFICATIONS REQUIRED:

 

Education and Experience

 

High school diploma or G.E.D. required with additional secretarial courses preferred,

 

And

 

two years’ experience performing clerical work in an office environment; a minimum of two years’ driving experience; Must have valid driver’s license.

 

Or

 

any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.

 

Certifications/Licenses:

 

Valid state driver's license

Knowledge, Skills and Abilities:

 

Knowledge of general office practices and procedures

 

Knowledge of effective and efficient record-keeping and bookkeeping practices and procedures

Knowledge of basic mathematics

 

Ability to learn and become proficient in specific computer software including MS Office, Publisher, and the internet

 

Ability to maintain an efficient and organized filing system to ensure that items can be retrieved in a timely manner.

 

Ability to answer the telephone in a courteous and tactful manner

 

Ability to maintain the confidential nature of the work

 

Ability to follow instructions, plan and organize work, and work under limited supervision

Knowledge of the assigned geographic area.

 

Ability to organize route in a manner that saves time and gasoline consumption

 

Ability to work effectively and cooperatively with co-workers and donors.

 

Ability to perform general cleaning activities for building,

 

Physical Requirements:

 

Ability to meet attendance requirements.

 

Ability to read, write, and communicate the English language.

 

Ability to perform routine mathematical computations.

 

Ability to transcribe dictation and type.

 

Ability to keypunch information into a computer.

 

Ability to sort and file documents alphabetically and numerically.

 

Ability to operate various general office equipment including a telephone and computer.

 

Ability to concentrate and pay close attention to detail with constant breaks in concentration associated with answering phones or speaking in person to clients requiring assistance.

 

Ability to operate commercial equipment.

 

Ability to exert the physical energy required to performing duties given.

 

Ability to perform continuous stooping, standing and climbing as well as lift and carry and/or push/pull moderate (25 – 50 lbs) and possibly heavy (50-100 lbs) materials and donations.

 

Working Conditions:

 

Duties are usually performed seated.  Sitting may be relieved by brief or occasional periods of standing or walking.  Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lbs.) 5-10% of work time. Work is performed in a warehouse building with some exposure to outdoor temperatures, dirt, dust and/or disagreeable sights and odors. Work is performed sometimes outside in a wide variety of weather conditions in addition to various traffic conditions. Dressing appropriately is important for comfort.
