What We’re Looking For in a Senior Travel Coordinator?
- Provide administrative and project management support to the USAMRIID CONUS/OCONUS Travel Program and administrative assistant support to the S-8 Division.. The Contractor may be expected to travel to various consulates to obtain visa documents. Approximate number of trips is approximately 8 times per year.
- Able to perform the following specific tasks in support of the Travel Program and be the “Travel Helpdesk” person as it relates to travel USAMRIID Travel Coordinator/Administrative Assistant correspondence, and will assist with all travel questions, arrangements, and coordination inside and outside of the Institute to include the HQ, USAMRDC, Department of State, embassies, and other offices as required to execute the mission.
- Be point of contact at USAMRIID for all associated Defense Threat Reduction Agency CONUS/OCONUS travel and will prepare travel related documents, requests, reservations, etc., as required to execute the mission.
- Take responsibility for tracking and forecasting travel in accordance with Army/MEDCOM/HQ, USAMRDC guidance. Provide forecast and follow up to ensure requests meet the mandated suspense dates for approval. Stay abreast of any changes to the requirements and will ensure the USAMRIID Comptroller, USAMRIID Defense Travel Administrator, and Budget Office is apprised of any changes/updates. Information will be made readily available to Institute staff and continuously updated as needed. Monitor and process travel requests/questions sent to the electronic “travel mailbox” on a daily basis.
- Will maintain, update, and provide the weekly “conference” slide to USAMRIID Operations for the Division Chief meeting. The slide will have the latest USAMRIID information on current CONUS/OCONUS travel.
- Ability to manage and prepare/review travel authorizations and vouchers according to JTFR, Army, MEDCOM, USAMRMC, and RIID policy/guidance for all travel. Work closely with USAMRIID Operations Office and ensure OCONUS travel requests are routed through Operations for review/approval. All correspondence submitted for approval to USAMRDC will meet the required suspense date as indicated in the travel matrix. When a conference is attended by personnel from several divisions, occupant will work with division personnel to identify central POC to submit a group request.
- Will work with division administrative assistants on a daily basis as it relates to travel correspondence. Log all travel correspondence to track through approval process and ensure the division administrative assistants are kept updated on the status of the document(s). Maintain templates for travel correspondence and ensure the most current version is updated on a shared drive under “Travel.”
- Be responsible for training newly assigned administrative personnel on travel correspondence and requirements.
- Be responsible for communicating with the Institute the upcoming conferences along with the submission due date.
- Provide administrative assistant support to the S-8 Division.
- Prepare and manage all administrative correspondence for the S-8 Division. Ensure all incoming correspondence/ documents are logged and tracked and staff appropriately within the S-8 Division.
- Be responsible for disseminating information to the S-8 Division personnel based on the guidance provided by the Chief, S-8 Division.
- Assist with managing the calendar of the Chief, S-8 Division.
- Act as the S-8 Division timekeeper and shall send out bi-weekly reminders to certifiers.
- Assist in ordering in the GFEBS and DMLSS electronic systems as needed.
