The Overlake School seeks a full-time Experiential Education Program Coordinator for the 2024/2025 school year.

Position Overview:
The Experiential Education Coordinator plays a vital role in supporting the efficient functioning of the Experiential Education Department. This position involves coordinating Student Clubs, Service Learning/Community Engagement, Outdoor Education, Senior Projects, and Project Week. This position reports to the Director of Experiential Education.
Responsibilities:
General
Communication Management:
- Respond promptly to emails from students and parents regarding Clubs, Outdoor Education, Project Week, Service Learning, and departmental classes
- Handle inquiries, provide information, and address concerns professionally and promptly
- Program-specific communication, including calendar updates and targeted emails to relevant stakeholders
- Collaborate with the communication team to ensure consistency in messaging
- Page by page, review the website/student handbook related to EE and ensure it remains current
Database Management:
- Maintain and update databases related to student information, mainly focusing on tracking student graduation requirements
- Utilize registration software to enroll students in EE programs
Process Documentation:
- Maintain, document, and standardized processes for the Experiential Education Department
- Organize and condense existing information related to programs and processes for improved accessibility
Meeting Support:
- Attend departmental meetings, take detailed notes, and summarize discussions
- Disseminate meeting summaries to stakeholders within 1-2 days, ensuring key points and action items are communicated
Programming Support:
- Coordinate with faculty, staff, and students?in the implementation of?MS and US Clubs, Project Week, Service Learning/Community Engagement, Senior Projects, and Outdoor Education.
Lead or co-lead a minimum of 15 field days per year
Facilitate climbing wall programming
Qualifications:
Education: An associate's degree is required, and a bachelor's degree is preferred.
Experience:
- Prior experience in administration, preferably in an educational setting
- Familiarity with database management and registration software
- Experience multitasking with solid organization and attention to detail
Skills:
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite, specifically Excel and database software
- Detail-oriented with a focus on accuracy
- Growth mindset and enthusiasm for constructive feedback.

- Wilderness First Aid or Wilderness First Responder Certification. Or the ability to obtain certification within one semester of hire
Physical Requirements:
- Able to work in a dynamic environment dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts
- Able to climb stairs
- Able to hike up to 12 miles in a day
- Mobility to move independently throughout campus, recreational areas, campgrounds, and challenge courses
- May work at a desk and computer for extended periods
- Must be able to remain stationary at a desk or similar 33% of the time. Time spent in a stationary location includes operating a computer and relevant peripherals and communicating via phone
- Regularly required by the duties of this job to move, ascend and descend, remain stationary, position oneself to access and operate machines and/or equipment and supplies, communicate, exchange information, and observe details at close and medium range within work surroundings
- Regularly moves up to 50 pounds. Typically involves office supplies, camping gear, event set-up material, and PPE
