Overview






The Executive Meeting Manager will generate guest room and food & beverage revenue, manage accounts, create high guest satisfaction, and solicit past and new business to meet goals. Understand the operations of the hotel, including F&B, guest services, reservations, etc. Participate in active sales solicitation, uphold policies and selling techniques with emphasis on maximizing occupancy and ADR, network through participation in community and professional associations, activities and events. Responsible for booking groups from 10-35 rooms on peak, with or without F&B, in all vertical markets. 









Responsibilities






  • Demonstrate positive leadership characteristics, which inspire employees to meet and exceed standards. 
  • Maintain a good working relationship with other departments, employees and guests. 
  • Develop and continually enhance relationships with key corporate, business and travel industry accounts. 
  • Promote employee empowerment. 
  • Report all unsafe conditions immediately. 
  • Accept inquiries. Answer and handle incoming calls for service/sales/catering. 
  • Solicit, negotiate and confirm new and repeat business through various efforts (lead follow up, telemarketing, direct mail, referrals, internet prospecting, etc.) to maximize revenues to meet/exceed goals. 
  • Develop and implement creative sales strategy by analyzing historical, current and future hotel/market/account trends. 
  • Use networking ‘social media for business’ tools such as LinkedIn to research existing & potential accounts, and develop new contacts for the hotel. 
  • Participate in training, trade shows, field trips and community, industry and professional organizations to maintain high visibility in support of the achievement of sales and revenue goals. 
  • Complete necessary paperwork in order to reserve room nights and catering space. 
  • Confirm all arrangements in writing to the customer within 8 hours. 
  • Effectively evaluate each piece of business, based on rates, dates, and space requirements. 
  • Execute guarantee and cut-off policies. 
  • Prepare letters, proposals, BEO’s, thank-you notes, etc. 
  • Maintain accurate, legible records and files consistent with established automated or manual sales system. 
  • Maintain price integrity both in rooms and food and beverage, using revenue management and pre-printed menus. 
  • Send thank-you note and appropriate follow-up documentation within 24 hours after the meeting. 
  • Ensure proper billing. 
  • Attend all mandatory meetings. 
  • Davidson Lead Referral ProgramActively seek business opportunities for other company-managed hotels. 
  • Create and distribute effective internal and external communication (written and verbal). 
  • Work with convention services and /or the Executive Chef to create and price custom menus. 
  • Check with group contact during meeting. 
  • Complete special projects and other duties as assigned by supervisor. 
  • Coordinate VIP gifts, deliveries. 
  • Entertain guests. 
  • Pre-check room setups, prior to arrival of the group. 
  • Refer to Sales Manager for additional business opportunities if appropriate. 
  • Update accurate forecast information for rolling forecasts. 
  • Conduct Site-Inspections 
  • Other duties as assigned by Supervisor. 








Qualifications






  • Bachelor’s degree or equivalent experience. 
  • 1-year food and beverage experience. 
  • Minimum 1-year hotel/sales experience. 
  • Professional appearance and confidence. 
  • Strong understanding of negotiation and interpretation of contracts. 
  • Can execute and support Hotel Customer Service Standards and Hotel’s Brand Standards. 
  • Business communication skills written and verbal. 
  • Understanding/knowledge of Microsoft office. 
  • Experience with major Hospitality Sales CRM system, i.e. Delphi, Daylight and/or brand CRM such as Marriott CI/TY is preferred. 
  • Ability to communicate effectively with public and other employees.
