POSITION SUMMARY
Alterra Mountain Company is currently seeking an experienced Executive Assistant to support our Chief Technology Officer. This is a dynamic and high-profile position, requiring a high level of professionalism, urgency, and discretion. The ideal candidate is an organized strategic thinker, possessing exceptional communication skills and the ability to manage multiple priorities at once. Confidentiality, follow-through, attention to detail, and keeping calm under pressure are of the utmost importance.
This role can be remote, but regular travel, at least once a month, is to be expected.
ESSENTIAL DUTIES
Executive Support
Act as main point of contact between CTO and internal/external stakeholders, when needed.
Partner closely with CTO to effectively prioritize workflow; this includes facilitating email correspondence and organization, screening calls, managing visitors, etc.
Manage CTO’s calendar and schedule, ensuring timely attendance at meetings, conference calls, speaking arrangements, and other events.
Manage and book travel / accommodation (international, domestic, and private charter) and provide detailed travel itineraries.
Compose, edit, screen, and respond to emails and other correspondence on behalf of CTO.
Participate in meetings as requested. Prepare meeting agendas, take meeting minutes, and ensure follow-up on action items.
Occasional assistance with personal items, only after discussion.
Help CTO rehearse for meetings and presentations by preparing materials and talking points.
Departmental Schedule, Meeting & Event Management
Build and own the OneIT calendar across all departments, including all CTO and department meetings.
Build and own a common OneIT industry conference schedule acting as primary point for organizing requests, plans and activities.
Organize and manage all OneIT ‘events’ ensuring conference space is reserved, food/beverage is ordered, and agenda is communicated in advance – supporting best practices in both organization and design of event as well as cost policy adherence. Responsible for set up/tear down of mentioned meetings.
Cultivate and maintain positive relationships with local restaurants, hotel management, and meeting spaces to leverage group rates, discounts, and availability as needed.
Heavy support for the planning and logistical execution of complex, large-scale conference style events.
Schedule all OneIT strategic planning related meetings and events.
This includes managing event budgets, and related T&E expenses.
Experience overseeing RFP processes with hotels and meeting spaces, negotiating rates and coordinating legal review of vendor contracts a plus.
Administrative Responsibilities
Submit and ensure payment of invoices and expense reports, as needed.
Maintain and organize confidential files and documents.
Handle sensitive information with discretion and confidentiality.
Qualifications
Minimum 5 years’ relevant Executive Assistant experience, preferably in support of a CTO at a complex multi-regional/multi-national corporation.
Ability to work cross-functionally across multiple levels of the organization.
Expert proficiency with all MS Office applications.
Ability to independently make decisions and act as necessary on behalf of CTO as appropriate.
Extremely organized with a keen focus on attention to detail.
Ability to solve complex problems and navigate ambiguity.
Professional/lived experience working in a culturally competent manner with a diverse range of people.
Strong ability to exchange information clearly and concisely; excellent oral and written communicator.
High-level of professionalism and strong understanding of the confidentiality and sensitivity of information received and handled.
The base salary range below represents the low and high end of the Alterra Mtn Co Shared Services Inc. salary range for this position. Actual salaries will vary and may be above or below the range based on various factors including but not limited to experience, education, training, location, merit system, quantity or quality of production, responsibilities, and regular and/or necessary travel. The range listed is just one component of Alterra Mtn Co Shared Services Inc.’s total compensation package for employees. Other rewards may include short-term and long-term incentives and many region-specific benefits.
Denver area base salary range: $80,000 - $95,000 per year
