For one of our clients, we are looking for a detail-oriented and organized Administrative Reservations Coordinator to join their growing team.





As an Administrative Reservations Coordinator, you will play a crucial role in supporting their operations by efficiently overseeing the reservation processes and providing administrative assistance to ensure the smooth functioning of their business. The ideal candidate is a proactive and customer-focused individual with excellent organizational skills and attention to detail.





Taken

Reservation Management:



  • Update and maintain accurate reservation records in their system

  • Communicate effectively with clients to confirm details regarding room, flight, and custom requests

  • Update reservation requests with vendors as diving operators & hotel & transfer companies

  • From time to time, physically assist front-of-house with check-ins of groups and/or during lunch breaks

Administrative Support:



  • Assist with general administrative tasks, including e-filing, excel data entry, and following up with clients on automated deadline notifications

  • Updating the various dedicated reservations software systems

  • Verify cancelations and room releases before deadlines

  • Collaborate with other team members to ensure seamless coordination of tasks

Financial Support:



  • Draft client invoices and provide custom payment links

  • Verify final vendor invoices and record payments

  • Close the End-Of-Day drawer for website payments

Quality Assurance:



  • Ensure accuracy in reservation details and follow up on discrepancies

  • Work closely with the reservations agents to resolve any issues that may arise

  • Serve as the second set of eyes to ensure all reservations, amendments, and cancelations are followed up on and processed




Requirements




  • HBO level or MBO with experience

  • Proven experience in administrative functions

  • Excellent organizational and time-management skills

  • Fluent in spoken and written English, with proficiency in Dutch as a plus

  • Strong computer and Excel skills are essential

  • Detail-oriented, with a meticulous approach to checking invoices

  • Hotel reservations experience is desirable but not mandatory

  • Able to work independently

  • Excellent communication skills

  • Willing to continually go the extra mile for clients
