Position Summary:
The Travel Coordinator / AP Administrator is responsible for managing all aspects of corporate travel, in addition to assisting with the accounts payable functions. This role ensures the smooth coordination of travel arrangements for employees, as well as assistance with administrative and AP tasks as needed. The individual must possess excellent organizational skills, attention to detail, and strong communication abilities.


Required Skills & Qualifications:



  • Readiness to work afternoon shift (1pm-9pm) 

  • Excellent English speaking and writing proficiency

  • Experience in travel coordination and/or accounts payable roles is a plus.

  • Excellent organizational and time-management skills, with the ability to multitask and prioritize.

  • Strong attention to detail and accuracy in handling financial data and travel logistics.

  • Excellent teamwork skills with the ability to collaborate effectively in a group setting.

  • Familiarity with accounting software (such NetSuite, or similar) and proficiency in Microsoft Office (especially Excel).

  • Effective communication and negotiation skills for liaising with vendors and internal departments.

  • Ability to handle confidential information with integrity and professionalism.

  • Problem-solving skills to handle unexpected travel issues and financial discrepancies.

  • Knowledge of corporate travel policies and visa requirements is a plus.



Key Responsibilities:Travel Coordination:



  • Plan and book international travel arrangements for employees, including flights, hotels, transportation, and other related accommodations.

  • Ensure all travel complies with the company’s travel policies and budget requirements.

  • Handle changes, cancellations, and emergency travel issues, providing support to travelers as needed.

  • Liaise with travel vendors to secure the best rates and negotiate discounts where possible.

  • Opening corporate accounts that will lead to additional savings

  • Provide travelers with necessary information, including itineraries, travel documents, and visa requirements.

  • Track and manage travel expenses, ensuring compliance with company policies.

  • Managing and processing all travel-related documentation, including payments, receipts, credits, vouchers, itineraries, visas, medical, and legal forms.

  • Prepare travel reports and analysis for management, highlighting travel trends and expenses.

  • Assist employees with visa and passport applications when required.



AP (Accounts Payable) Administration:



  • Maintain organized records of AP transactions including Master Google Sheets & Google Drive.

  • Track and collect current vendor insurance documents (COI & WSIB).

  • Ensure compliance with documentation and approval policies.

  • Assist the finance department with accounts payable tasks as needed.

  • Support monthly and yearly financial close processes within the AP team.

  • Perform additional administrative duties as assigned by the manager.
