Job Description

WHAT’S THE JOB?

We are looking for an experienced, Travel Coordinator. Candidates should be self-starters who possess effective skills in communication, time management and critical thinking.

Key responsibilities include:

  • Sending out email reminders to all staff – Collecting pick-up information
  • Coordinating hotel bookings and taxi pick-ups for Thunder Bay staff
  • Coordinating travel to site for workers from surrounding communities
  • Organizing drivers – Scheduling, preparing routes & instructions, as well as creating an up-to-date driver’s manifest of staff traveling into and out of each site
  • Keeping an inventory of company vehicles
  • Supplying drivers with log books, gas cards, and instructions
  • Coordinating safe journey management plans. 
  • Using Elite Corporate Travel to book various types of travel including hotel, flights, car rentals, etc.
  • Liaising with project managers for other travel needs
  • Coordinating special travel for staff – NWO and MB travel in and out of site such as Kasper Bus, Ontario Northland Bus, Taxi companies, Flights, etc.
  • Supporting the Operations team
  • Ongoing management of shared inbox – requests and updates from site as part of a logistics team.
  • Invoicing – Creating and submitting Purchase Orders
  • On call and weekend support as needed

Work Schedule and Remuneration:

The Travel Coordinator may be expected to work weekdays, weekends, and general holidays.

Specific pay details are discussed at the interview phase.
