Summary/Objective
The role of the Accounts Payable Coordinator involves providing financial, administrative, and clerical support to the accounting department and organization. The primary objective of this role is to complete payments and control expenses by reviewing, processing, and verifying invoices in an efficient and timely manner. The secondary objective is to maintain clean, organized, and complete historical records that can be easily accessed for review.
Essential Functions
• Analyze and prepare bills for approval using proper handling of financial transactions
• Assemble, review, and obtain necessary approval for invoices and check requests
• Flag and clarify any unusual or questionable invoice items or prices
• Correspond with vendors and respond to inquiries
• Prepare and process electronic transfers and payments
• Prepare and perform check runs
• Maintain historical records by filing documents
• Distribute payments according to schedules
• Verify vendor accounts by reconciling monthly statements and related transactions
• Assist in preparing requested information during annual audits and reviews
• Maintain accounting ledgers by verifying and posting account transactions
• Reconcile monthly bank statements and intercompany accounts
• Monitor compliance with generally accepted accounting principles and company procedures • Ensure adherence to companies accounting operations; submit recommendations for improving processes • Review, investigate, and correct errors and inconsistencies in financial entries
• Accomplish accounting and organization mission by completing requested assignments as needed
Required Education and Experience
• Ability to sit for period of times at the computer/phone.
• Possible heavy lifting, bending whilst assisting other departments.
• Knowledge of accounting basics, general math and PC proficiency.
• Ability to possibly stand for durations of time.
• Detail oriented with ability to multi-task with many different tasks at once
Work Environment
This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
