Job Description
The Information Specialist provides clerical, administrative, informational, and operational support to the Outdoor Recreation department manager and staff.
- Assists with coordinating activities, schedules, appointments and meetings.
- Assists staff with administrative functions in the planning and
- implementation of programs and special events as needed.
- Organizes and proofs printed material prior to submission, including end of
month reports, annual reports, and staff schedules.
- Provides information for program participants. Registers program participants
(online, over the phone, or in person), answers calls/written inquiries, and
- provides information or directs requester to appropriate persons or agencies
who can assist. Maintains waivers and program registrations.
- Handles revenue and purchases according to Park District policies and
procedures, as associated with program registration and program operations:
- Makes deposits at the bank for program revenue as requested.
- Assists with preparing purchasing requisitions/tracking and Procard coding
through Munis.
- Helps coordinate and prepare fixed asset inventory, inventories and makes
purchases, and maintains records.
- Assists the manager and staff with budget analysis, budget tracking, and
data entry.
- Compiles reports of monthly activities and attendance.
- Assists with promoting programming online, monitors social media promotions,
and updates website information.
- Performs daily operational duties as needed/requested such as opening and
closing building(s), records program attendance, inspects and performs light maintenance of building as needed/requested.
- Travels to various locations throughout the Park District to assist with
special event registrations and programs.
Qualifications:
- High School diploma or equivalent required.
- A minimum of one year of administrative experience required.
- Willing to be certified, or currently certified in CPR/First Aid and AED use.
- Proficiency in computer software programs including Microsoft Word and Excel.
- Familiarity with internet communications and social media.
- Excellent interpersonal communication skills; enjoys regularly interacting
with the public.
- Ability to develop and maintain effective working relationships with
stakeholders, including employees and the general public.
- Ability to speak and write clearly, concisely and persuasively using correct
grammar, spelling and punctuation with ability to communicate one-on-one or in group settings.
- Ability to perform work with a high degree of accuracy and organization.
- Ability to work cooperatively with others.
- Ability to perform with considerable independence and initiative.
Work Schedule: Monday - Friday, 40 hours/week from mid-March - mid-September, occasional evening and weekend shifts.
